    Overview

    Growthz is an AI-powered marketing startup on a high-growth trajectory. As the company scaled, its founders faced a critical inflection point: the absence of a properly structured financial system was becoming an obstacle to fundraising readiness, investor confidence, and operational decision-making.

    XLURSELF was engaged to build Growthz's entire finance infrastructure from scratch on Zoho Books — not just as a bookkeeping tool, but as a platform purpose-built for a scalable, reporting-first marketing company. The benchmark was ambitious: month-end books closed by the 2nd of every month.

    Challenge

    Growthz had no formal chart of accounts designed for its business model. Generic COA templates didn't account for the nuances of a marketing-led AI business — where income streams, cost categories, and performance reporting dimensions don't map cleanly to conventional accounting structures.

    Without the right COA architecture, any reporting built on top would be fragile and hard to scale. Every new revenue stream or expense category would require manual intervention. The company needed a financial foundation that could grow with them — where any future accountant could intuitively place any transaction without ambiguity.

    Solution

    XLURSELF designed a bespoke Chart of Accounts for a scalable marketing company — structured so that any income, expense, asset, or liability that Growthz might encounter in future maps cleanly to an existing category with proper numeric coding. This wasn't a generic template; it was a COA built around Growthz's specific business model and fundraising narrative.

    On top of this foundation, bank accounts and credit cards were integrated for automated transaction feeds. Custom reporting tags were configured to enable multi-dimensional analysis — by client, campaign type, cost centre, and business unit. An exhaustive drill-down month-end closing report was built in Zoho Analytics, enabling the finance team to close books with confidence and speed.

    Business Model Analysis & COA Design

    Deep dive into Growthz's revenue streams, cost structure, and reporting requirements. Designed a fully coded, scalable Chart of Accounts — specific to a marketing company, with coding logic that any future accountant can extend without breaking the reporting structure.

    Zoho Books Setup & Bank Integration

    Configured Zoho Books from scratch: company settings, tax configuration, COA mapping, and automated bank and credit card feeds. Ensured every transaction flowing in from Day 1 was categorised correctly against the new COA.

    Configured Zoho's custom tagging system to add reporting dimensions not captured in the COA — enabling analysis by client, campaign, department, and geography without restructuring the accounts.

    Built an exhaustive Zoho Analytics drill-down report stack specifically for month-end closing — P&L, Balance Sheet, and cash flow views with drill-through capability to the transaction level. Designed to enable close completion by the 2nd of every month.

    Documented a step-by-step month-end closing checklist aligned to the Zoho workflow. Trained the internal finance team to run the full close process autonomously, with XLURSELF available for ongoing CFO-level advisory.
